Effektiva arbetsmöten ur ett informationslogistiskt perspektiv : En fallstudie om hur mötesuppbyggnad, informationsöverföring och mötesöverflöd påverkar effektiviteten vid arbetsmöten

Sammanfattning: Today's information society has resulted in escalated information flows within organizations, which results in increasing need for achieving efficiency and flexibility in work meetings. 25% of organizations' resources are placed in work meetings, work meetings that are often inefficient and resulting in undesirable results. Previous research shows that effectiveness in work meetings is a phenomenon that has been long studied and there are several aspects that determine whether the work meeting is considered effective or not. The subject has been studied primarily with the aim of streamlining decision making, which makes the area interesting to study from a different perspective. An important core of organizations is Information logistics, where information management are often highlighted in relation to organizations' profitability. Consequently, this was considered an interesting perspective to explore in connection with work meetings.The purpose of the case study was to visualize and describe any problems that concern content at work meetings from an information logistic perspective based on meeting structure, information transfer and meeting overflow. Appropriate theories within these areas were used to highlight critical success factors.Research questions of the study have been answered using a qualitative method in which semi-structured interviews have been used for data collection. The collected material was then analyzed in six steps. Consideration of quality criteria and research ethics have been taken throughout the process. Results showed that respondents often experience work meetings as less effective and information transfer may sometimes be inadequate. The results also pointed out the fact that unnecessary meetings are held occasionally, which contributes to an abundance of meetings. When the results were set against theoretical reference framework and research questions of the survey, the case was found to be problematic in all investigated areas resulting in a general experience of less efficient work meetings.By applying an information logistical approach and critically reviewing content at work meetings based on meeting structure, information transfer and meeting overflow, the case company could review work meetings and possibly create a meeting structure as well as situational and customized content. These efforts can hopefully increase the efficiency of work meetings, which in the long run can result in high profitability for the business.
